Chichester-based records’ management specialists, FDA UK, are pleased to announce the introduction of a new scan-on-demand service to complement their existing document storage offering.
‘PDF 2 Go’ facilitates the scanning and conversion of paper files into universal pdf format, with the resulting digitised document uploaded into FDA’s existing secure online records’ management platform.
The file is then accessible to any active user with the appropriate permissions within an organisation, and will be displayed in any search results pertaining to the relevant search criteria – providing easy, instant access to business-critical files.
This new service promises to reduce both the cost and timescale of retrieving hard copy files from storage (whether held on or offsite), as a short document can be scanned and uploaded within minutes.
It also reduces the risk of a file being lost or misplaced upon retrieval, as it is immediately returned to the storage area following conversion.
Once a file is retrieved from storage, it is statistically more likely to be retrieved again, resulting in recurrent retrieval charges – PDF 2 Go eliminates these costs, as any scanned file remains available for unlimited and immediate viewing online for the remainder of its retention period.
FDA’s Managing Director, Philip Matthews, commented: “We have been attending to our customers’ document storage needs for 20 years, during which time we have seen a complete transformation in the technology available to securely store and manage company records.
Despite compelling legislative reasons to retain important documents in hard copy, there is no reason why files cannot be viewed and accessed electronically during the normal course of business”.
“Whilst the digitisation of paper records remains the platinum standard in document management, the associated cost in converting an entire library of files is typically prohibitive – particularly given that a high percentage of files, once archived, will never be required.
The more cost-effective, commercial and cash-flow friendly approach is to scan once a file is ‘reactivated’ on retrieval, which is the solution which FDA, through the PDF 2 Go application, can now provide”.
Established in 1995, FDA UK provides secure document storage, scanning and shredding solutions to businesses throughout the South.
As specialists in their field, they act as an ‘external filing cabinet’ for companies with limited storage space.
